Guidelines

Speaker Guidelines

  • Speaker Registration
    • Please register by January 31st through the “Speaker Registration” button on our website.
    • A registration password was provided in your invitation email. If you did not receive it, please contact the person who invited you.
    • Once you complete speaker registration, you do not need to register for the conference separately. Our volunteer team will handle that on your behalf.
  • Brochure Information
    • We will begin creating the conference brochure on February 1st.
    • If you register later than Jan 31st, we will do our best to include your information. If it arrives after brochure finalized, we may not be able to include it.
  • Slide Deck & Final Title Upload
    • Please upload your final presentation title and slide deck by March 8th.
    • Use the “Presentation Slide Deck Upload” button on the website to submit your files.
  • Conference & Workshop Attendance
    • In addition to the main conference on March 15th, speakers are invited to attend our Friday workshop free of charge.
    • The workshop is titled “LLMs and Generative AI: Real-world Applications from Peers”, focusing on practical AI usage to greatly enhance efficiency.
  • Presentation Logistics
    • Please refer to the conference schedule for your specific presentation time.
    • Arrive 10 minutes earlier than your scheduled session start to prepare and ensure a smooth transition.
    • During your presentation, a volunteer will provide time checks when you have 2 minutes remaining and 1 minute remaining.

Poster Guidelines

  • Poster Abstract Submission
    • Poster abstract submission deadline is Feb 21st.
    • All poster submission through “Poster Abstract Submission” button on our website.
    • If any further issue is encountered on the website, you can also email your abstract with the subject line: “AC_Poster_Submission’ to sapagp@sapa-gp.org, including your name, affiliation, and abstract.
  • Board Size & Setup
    • Each poster board measures 4 ft x 8 ft. Make sure your poster fits within these dimensions.
    • Poster boards will be set up during the first break (10:30–10:50). You may also set up your poster during the lunch break.
  • Poster Presentation Session
    • The poster session is scheduled for 3:15–3:45.
    • During this time, the poster author(s) should stand by their poster to present and answer questions.
    • Based on poster content and presentation, the review committee will select 7 posters for poster award.  Awards are given based on the high review scores the review committees give. Recipients receive a certificate and stipend of $100, which is given during closing ceremony.
  • Teardown & Awards
    • You can take down your poster during the final reception.
    • We will announce a Poster Award during the closing ceremony.
